Booking & Confirmation
All reservations must be submitted in writing via email or affiliate portal. A booking is not confirmed until a written confirmation is issued by Umbrella Global Transportation. Verbal agreements are non-binding. Affiliates must provide complete passenger counts, pick-up/drop-off addresses, and itinerary details at the time of booking.
Payment Terms
Full payment is due 3 days prior to the date of service unless otherwise agreed upon in writing. Returned ACH or failed payments incur a $35 fee. A valid credit card on file may be required at the time of booking to secure the reservation. Accounts with outstanding balances are subject to service suspension pending resolution.
Cancellation Policy
Cancellations must be submitted in writing. Cancellations received more than 7 days prior to service: no charge. 4–7 days: 25% of estimated total. 2–3 days: 50% of estimated total. Less than 48 hours: 100% of estimated total. OTR/multi-day cancellations inside 7 days are subject to full day-rate charges for all confirmed days.
Wait Time & Delays
Complimentary wait time is 15 minutes for scheduled pick-ups and 45 minutes for airport arrivals after wheels-down. After the complimentary window, wait time is billed at the vehicle's applicable hourly rate prorated in 15-minute increments. Delays caused by traffic or weather do not waive minimum hour requirements.
Vehicle & Driver Assignment
Umbrella reserves the right to substitute a comparable or larger vehicle when necessary due to mechanical issues or availability. Specific vehicle or driver requests are accommodated when possible but cannot be guaranteed. All drivers are properly licensed, insured, and compliant with applicable federal and state regulations.
Hours of Service (HOS) Compliance
All charter services are operated in strict compliance with FMCSA Hours of Service regulations. Itineraries that exceed legal driving limits will require a second driver or mandatory rest periods. Client-caused delays that push service into HOS violations will result in mandatory holds. Additional costs incurred are billed to the affiliate.
Damage & Excessive Cleaning
The affiliate is responsible for any damage to the vehicle caused by their group, including but not limited to: spills requiring professional cleaning, torn upholstery, broken fixtures, or biohazard cleanup. A detailed damage and cleaning fee schedule is available upon request. Minimum cleaning fee for biohazard incidents is $350.
Liability & Insurance
Umbrella Global Transportation maintains commercial auto liability insurance as required by federal and state law. The affiliate assumes full responsibility for the conduct of passengers. Umbrella is not liable for delays caused by traffic, weather, acts of God, or other circumstances beyond its reasonable control. Affiliates are encouraged to maintain their own contingency coverage.
Prohibited Items & Conduct
Alcohol consumption is permitted only in vehicles with applicable permits and in jurisdictions where lawful. Smoking, vaping, and controlled substances are strictly prohibited in all vehicles. The driver reserves the right to refuse service or terminate a trip without refund if passenger behavior poses a safety risk to the driver or other passengers.
Rate Integrity & Confidentiality
Affiliate rates are confidential and are extended exclusively to authorized partner organizations. Rates must not be disclosed to end clients or used in public-facing materials without prior written consent. Umbrella reserves the right to audit affiliate billing and terminate agreements where rate misuse is identified. Rates are subject to annual revision.
